ISO 22458 Implementation Checklist

The ISO 22458 Implementation Checklist is a Word checklist of the steps needed to set up a management system that covers ISO 22458:2022, the consumer vulnerability standard. Each step sets out the action required, with columns for responsibility or completion notes and status.

It names the alphaZ documents used at each step, from the consumer vulnerability risk assessment and registers to the procedure, code of conduct and training talk, so it works best alongside the ISO 22458 Toolkit.

What's Included in this Checklist

  • Risk assessments - an initial assessment of consumer vulnerability risks and the controls already in place
  • Review existing systems - how vulnerable consumers are identified now, records and automated flags, and current policies and procedures
  • Review procedures and arrangements - the consumer vulnerability procedure and code of conduct amended to reference your own policies and processes
  • Review registers - the vulnerability risks register and the consumer vulnerability register complete and up to date
  • Review personal data processing - the RoPA and privacy notices covering the processing for vulnerable consumers
  • Review forms and policies - the forms and policies in use referenced in the procedure and shared
  • Staff training and awareness - training resources reviewed and frontline staff trained
  • Inclusive service provision - service provision reviewed, with an inclusive design impact assessment where needed
  • Problems and complaints reporting - a process for logging issues and complaints, with frontline staff able to deal with them
  • Review systems and monitoring activities - internal audits planned and completed, and monitoring activities reviewed

Roles and Forms Named in the Checklist

  • Vulnerable Consumers Representative - appointed and aware of their responsibilities, with a Vulnerable Consumers Action Team recording its actions on the F-CV1 Focus CV Committee form
  • F-IMS24 Personal Data Register - for a business with no record of processing in place
  • F-Q102 Vulnerable Consumer Report - with a process for submitting reports and reviewing them confidentially
  • F-Q103 Consumer Vulnerability Monitoring and F-Q104 Website Accessibility Review - for logging inspections, monitoring and accessibility reviews
  • F-Q101 Consumer Vulnerability Staff Questionnaire - for collecting feedback from staff

Who Needs an ISO 22458 Implementation Checklist?

Organisations that deal with consumers and are implementing ISO 22458, and the person leading that work, who want a clear order of work with responsibility and status recorded against each step.

Included in the ISO 22458 Toolkit

This checklist is part of the ISO 22458 Toolkit.

Using the Checklist

Work through the steps in order, recording who is responsible, notes on what was done and the status of each. The last step, an internal audit against the standard, confirms the arrangements are working.
